Wound care, finally on one system.

Your documentation, your ordering and your defensibility on one record — so the chart you write this morning is the chart you would hand a reviewer.

What you get, what it costs, and how you get out.

What you get

One system for the chart, the order and the evidence.

  • The wound has its own record, its own history and its own arc
  • The note is written as you talk, by Scribe
  • The order and the justification get written in the same motion
  • Your Protocols and your Formulary, applied the same way at every location
Who you pay for

—

  • A seat is a Provider of Record — a clinician whose NPI goes on a claim
  • Nurses, techs, front desk, schedulers, billing staff and admins: included, no limit
  • Every location, every room, every read-only executive: included
  • No per-user pricing, in any direction
What it costs

One rate per Provider of Record.

Why it is safe to start

You can leave, and you can take everything with you.

  • Ninety days to walk away, unused subscription refunded pro rata
  • Run your old system in parallel until you have verified every workflow
  • Thirty days to cure a breach, or you leave with a pro-rata refund
  • Full export in FHIR R4 and CSV, throughout and ninety days after, at no fee
Where it hurts

Same patients, same day. Two ways to run it.

None of the left-hand column is a software problem on the surface. All of it is a software problem underneath.

Today
With Patientflows
The note, the photos, the measurements, the order and the claim live in five places. Nobody holds the whole thing.
One record. The wound carries its own history, its own imagery and its own measurements, at every site.
You find out how defensible a chart is from a payer, months late.
You see it while the note is still open, in the ARC Score.
A records request starts a fire drill and a week disappears into reconstructing a record that was never kept whole.
The ARC File is assembled as you work. When the request arrives you don't reconstruct — you download.
The standard lives in one clinician's head, and it leaves when they do.
The standard is a Protocol in the record, versioned, resolving by date of service, published by a licensed clinician.
Ordering is a second job: the product decision, the paperwork justifying it and the system it gets typed into have nothing to do with each other.
The order and the justification get written in the same motion, from the encounter that justified it.
Every medical assistant, coordinator and front-desk hire is a budget conversation before it is a staffing one.
You pay for Providers of Record. Everyone else is included, with no limit and no per-user pricing.

You pay for Providers of Record. Everyone else is included.

What changes

Built to survive the audit you haven't gotten yet.

Audit-Ready Care is the standard the whole platform is built to. Every encounter is defensible by default, because the evidence is captured in the same motion as the care. Not a feature you turn on. Not a module you buy.

Audit-Ready Care inverts the sequence. The record is complete when the encounter closes. Not when the biller circles back. Not when somebody goes looking. Complete.

The platform

One package. One rate. Nothing to compare.

There is no good tier and no crippled tier, and no grid where the thing you need sits one column to the right of the thing you can afford. Every practice gets the same software.

The record

The wound has its own record, its own history, and its own arc.

  • The patient is the spine — one record, every site, every wound
  • Structured measurements, with area and volume derived rather than typed
  • Imagery attaches to the wound, not to a phone
  • The ARC File — when the request arrives, you don't reconstruct. You download
  • The ARC Score — a live reading of measurement discipline, image quality and order rationale, while the note is still open
Sherpa

Your chief of staff for wound care.

  • Not a chatbot and not a copilot. One button for prescriptions, labs, messages, care coordination and plan-of-care edits
  • Reads and organizes everything arriving at the practice
  • Proposes options at every decision and waits for you
  • Routes the work, writes it into the documentation, logs it to the audit trail
  • Planned Standing workstreams that run without being asked
Scribe

Talk through the visit. The note is already written.

  • Ambient or typed, captured as the encounter happens
  • Wound-native: it knows an etiology from a comorbidity, and what has to be present for the encounter to stand on its own
  • Carries the gaps it could not fill and where each piece came from
  • No meter runs while you write. No balance, no price, deliberately
Guardrails

Nothing changes until you approve it.

  • Anything touching the chart, an order, a prescription or a message leaving the practice stops and waits for your attestation
  • Not a setting you can turn off. Not a trial that ends. Architecture
  • Sherpa never suggests a diagnosis you have not already recorded — built to the AHIMA and ACDIS documentation-integrity standards
  • Autonomy stops at delegation, permanently. You are always the author.
Protocols

Your standard, applied the same way by everyone.

  • A living object in the record, not a document in a shared drive
  • Versioned — editing one never overwrites the old one
  • They resolve by date of service. A Protocol revised in August never governs a June encounter
  • Published by a licensed clinician. A practice admin cannot publish one
  • Planned Routines — the recall, the follow-up, the check that nothing stalled
Orders & Formulary

The order and the justification get written in the same motion.

  • Built from the encounter that justified it, with the rationale already attached
  • Order management end to end — ordered through settled
  • Your preferred products come up first; nothing is ever taken off the shelf
  • Supplier-agnostic. No manufacturer authors, sponsors or funds anything clinical here

One package. Every practice gets the same software.

What you are not charged for

You pay for your providers. Your whole practice uses it.

One class of seat carries a charge: the Provider of Record, meaning a clinician whose NPI goes on a claim. The test is one sentence, and it is a fact already recorded on a claim you filed — not a judgment we make about your staff.

Included, no limit
  • Nurses, LPNs, medical assistants, wound techs, care coordinators
  • Front desk, schedulers, patient financial counselors, referral coordinators
  • Practice admins, in-house billing staff, read-only executives, compliance
  • An external auditor you invite in
  • Every location. Rooms, cross-site roster, per-site formulary — nothing here is priced per site
  • We Know Wounds membership for every Provider of Record
Never metered
  • The visit note. The product order. The ARC File. They draw nothing
  • Real-time eligibility and benefits — included, never a line item
  • 25,000 Sherpa Credits per billed Provider of Record, every four weeks
  • Nothing is priced per order, per patient, per claim or per device, in any direction
  • A zero balance never blocks care. The work completes and trues up on the next invoice
  • Full export in FHIR R4 and CSV, during and for ninety days after. No fee
Getting there

Everything it takes to switch. One flat number, paid once.

White-Glove Onboarding is the same figure for every practice at every size, on both price lists. Two providers or forty-six. No formula, no per-clinician band, nothing to argue about.

Workflow mapping with your team

How you actually run the practice, documented before anything is configured to it.

Data and CRM migration, however many years

From whatever you are on now. Inside the fee, not a separate line — that is the line most platforms use to make the real number appear later. And we re-run it as many times as it takes.

Your Protocols and your Formulary, built

Your standard set up as living objects in the record, and your product set loaded with a test order placed to each supplier.

Role-based training for everyone

Providers, medical assistants, wound techs, front desk and admin — in practice-wide working sessions, because everyone is on the system and nobody is paying per seat to be there.

Interfaces configured

Labs, pharmacy, clearinghouse and referring providers.

A dedicated go-live week, then optimization

Support through the week you switch, and workflow optimization after you are live.

One flat onboarding figure at every size. Nothing negotiated.

The investment

Your numbers.

What we would do, in your position

—

—

—

Your current stack, in your own numbers

Nothing here is pre-filled, because we do not know your numbers and will not invent them.

Fill in whatever you know. The comparison appears as you type, it is never sent anywhere, and nothing here is stored.

Your billing is not in this comparison, because we do not replace it. Patientflows connects to billing and never bills — whoever submits your claims keeps doing it, on their own agreement, and that cost does not move. The separately priced modules are not in here either, and none of them is required.

—

—

Sherpa Concierge is not quoted here and is not assumed — it is required for any Provider of Record you add after go-live, at the published per-provider figure. Sherpa Credits beyond the included allowance are $12.00 per 1,000, which is the ceiling and is the same at every practice and every volume.

What else is worth knowing

Optional modules are quoted separately and none is required.

Sherpa Concierge is our one-to-one onboarding for an individual clinician. It is required after go-live because the practice-wide sessions will already have happened, and it is the same published figure for everyone.

Nothing here is negotiated, and nothing changes if you add people who do not bill under their own NPI.

The Founder Cohort

Half off the subscription, for the life of the account.

  • —
  • It applies to every Provider of Record you ever add, with no numeric limit and no expiry, and it survives a change of ownership.
  • White-Glove Onboarding and Sherpa Credits carry no Founder discount — those are charged uniformly to everyone.
—
If it doesn't work

We would rather be verified than trusted.

A pre-launch company asking a practice to move its clinical record onto new software is asking for an enormous amount of trust. The honest way to handle that is to remove the need for it. You are not being asked to believe this works. You are being asked to check.

How you test this without betting the practice

Ninety days to walk away

Leave for any reason within ninety days of go-live and your unused subscription is refunded pro rata. White-Glove Onboarding is not refunded — that work is done.

Run both systems in parallel

Keep your old system running until you have personally verified every workflow that matters to you. We re-run the migration as many times as it takes, at no extra charge.

Thirty days to cure

If we are ever in material breach you give us thirty days' written notice to fix it — and if we don't, you leave with a pro-rata refund.

The door out is open the whole time

Full export in FHIR R4 and CSV, throughout and for ninety days after. No fee, no hostage clause. An export request is a fulfillment request, never a retention conversation.

Ninety days to walk away. Full export at no fee.

Before you ask

The six questions everybody asks.

Who exactly counts as a seat?

A Provider of Record — a clinician whose NPI goes on a claim. Nurses, LPNs, medical assistants, wound techs, front desk, schedulers, billing staff, practice admins and read-only executives are included, with no limit and no per-user pricing.

What if we add a clinician mid-term?

Their seat starts on the next payment at your contracted rate. Sherpa Concierge — one-to-one onboarding for that clinician — is required for anyone added after go-live, at the published per-provider figure.

Is White-Glove Onboarding ever waived?

No. It is the same flat figure at every practice and every size, never waived, never negotiated and never discounted — including for the Founder Cohort. It is refunded in full in one circumstance: if we fail to commence the work.

Are we charged per location?

No. Rooms, a cross-site roster and a per-site Formulary are included. Nothing here is priced per site, per order, per patient, per claim or per device, in any direction.

How long is the term, and how do we leave?

Thirteen payments, one every four weeks, renewing the same way. Sixty days' written notice to end it. Ninety days from go-live you can leave for any reason with prepaid unused subscription refunded pro rata.

What happens to our data if we go?

Full export in FHIR R4 and CSV, including bulk, throughout and for ninety days after, at no fee. Migration assistance out is stated in the agreement, also at no charge.

Price it at your own count, then register when it fits.

Terms at a glance

The whole agreement, in plain words.

Who authors the record
Sherpa proposes and waits. Anything touching the chart, an order, a prescription or a message leaving the practice stops for your attestation. Autonomy stops at delegation, permanently. You are always the author.
Term
Thirteen payments, one every four weeks — fifty-two weeks in all — renewing the same way. Sixty days' written notice to end it; thirty days to cure a breach.
How you are invoiced
Every four weeks, in advance. Or pay up front: the same thirteen payments collected at signing, and two further four-week payments credited after thirteen continuous paid payments from go-live — two extra cycles, included — on the first prepaid year only.
White-Glove Onboarding
Payable on signing. Never waived, never negotiated and never discounted, including for the Founder Cohort. Refunded in full in one circumstance: if we fail to commence the work.
Adding a clinician
Their seat starts on the next payment at your contracted rate. Sherpa Concierge — one-to-one onboarding for that clinician — is required for anyone added after go-live and is quoted at the published per-provider figure.
Walking away
Ninety days from go-live, for any reason, with prepaid unused subscription refunded pro rata.
Your data
Full export in FHIR R4 and CSV, including bulk, throughout and for ninety days after, at no fee. Migration assistance out is stated in the agreement, also at no charge.
What we don't do
We do not bill on your behalf and we are never in your money chain. We make no promise about coverage, payment, denial rates or audit outcomes. Anything committed but not yet shipped is listed with its status in the Capability Status published with your agreement.
What happens next

See it run on a real case before you sign anything.

A working session on your own clinical material, not a demo tenant full of invented patients. You pick which of these two you are comfortable with, and we run that one.

Option one — no paperwork

Talk us through a case. We build the encounter while you watch.

You present a real case the way you would present it to a colleague — etiology, location by body region, measurements, comorbidities, what you put on it, the payer class, and what the note had to prove. One of us drives, you talk through the visit, and the note, the order and its justification get written in front of you.

  • Nothing identifying crosses, so there is nothing to sign and nothing to wait on
  • Bring no names, no dates finer than the year, no record numbers and no photographs
  • Then compare what came out against the note you actually filed
Option two — one signature

Bring the chart itself, imagery included.

If the only version of this worth seeing is your own record with your own photographs in it, we put a data-handling agreement in place first — on its own, before anything else, and separate from the subscription agreement. It is not a purchase and it commits you to nothing but how we handle what you choose to send.

  • The data-handling agreement is signed on its own, ahead of any commitment
  • Your own records and your own imagery, which option one cannot use
  • Tell us before the session and we will have the paper ready

Either way, you get the Capability Status in the session — what is live and what is committed, with nothing dressed up as either. And the session is the first step of White-Glove Onboarding performed early: if you sign, the work carries forward. The fee does not move.
